This policy explains how we comply with the DPA (Data Protection Act), the General Data Protection Regulation(GDPR) which comes into effect on 28 May 2018, and the Privacy and Electronic Communications Regulations. • when you attend OLCC services or participate in other OFI activities;

• communicate with us by means such as email, letter, telephone;

• face to face meetings with staff and volunteers;

• access social media platforms such as Facebook, YouTube, WhatsApp, Twitter, Instagram

 

We do not hold any debit or credit card details for donations/payments made via our websites. All card payments are handled by service providers who encrypt card information. sent from this website.

 

Why we collect information about you

We collect information about you for the following reasons:

• to provide appropriate pastoral care, to monitor and assess the quality of our services, to fulfil our purposes a charity and to comply with the law regarding data sharing. In legal terms this is called ‘legitimate interests’

• to provide you with information about our work including membership-related mailings, events and resources and to tailor this kind of information according to your location and expressed interests.

• to ask for financial and non-financial support, such as prayer.

• to process donations, you give us and to ensure they are recorded correctly.

• to keep records of your relationship with us. For example; what events you have attended, what enquiries or complaints you have made, what areas of our work you have supported or what resources you have ordered.

• to customise the information and appeals we send to ensure we work in the most cost-effective way and only send information which is appropriate to you.

• to enhance or improve your experience on our website. When you indicate your preferences through your use of our site, we may use this information to personalise the site to better meet your needs.

 

How we use your information
We will use the personal information we collect for the purpose disclosed at the time of collection, or otherwise as set out in this Privacy Policy. We will not use your personal information for any other purpose without first seeking your consent, unless authorised or required by law. Generally, we will only use and disclose your personal information as follows:

• to keep you informed by text and/or email as to our services, meeting, activities, resources and conferences;

• to establish and maintain your involvement with us, events you have attended, what areas and activities of OFI and OLCC you have supported, record and acknowledge any donation, to provide the products you have requested;

• to answer an inquiry or request for further information or complaint about OLCC or OFI, its services, activities and events;

• to register you for events, conferences;

• for promotion of products or services and to keep you informed of new developments we believe may be of interest to you. If we contact you in this way without obtaining your prior consent, we will provide you with the opportunity to decline any further promotional communications;

• to improve our general ability to assist attendees and the wider community; • to assist the OLCC and OFI with management of issues relating to the OLCC; and

• to enable the Pastors and leadership of OLCC to personally and directly communicate with you.

 

How long do we keep your information?

The length of time we keep the information you have given us depends on the context in which you provided it. We will only keep information that is necessary for us to provide membership mailings, other resources and for statistical purposes. We will keep records of any financial transactions you enter with us for a minimum of six years. This will enable us to meet with accounting requirements and respond to any questions from you that arise during that period. Gift Aid declarations and transactions must be kept for a minimum of 12 years after the Gift Aid is no longer valid.

 

Who sees your information?

The information you provide to us will be held on computers in the UK and the European Union and may be accessed by or given to our staff and our service providers who act for us for the purposes set out in this policy or for other purposes approved by you. Those parties may process information, fulfil and deliver orders, process credit card payments and provide support services on our behalf.

We do not pass any of your personal information to any other organisations and/or individuals without your express consent, with the following exceptions:

By providing us with your details you are giving us your express permission to transfer your data to our service providers including mailing houses to send you newsletters or updates on our events and activities. Where such details are shared we have confidentiality agreements in place that restrict the use of your information to the purpose for which it is provided and ensure it is stored securely and kept no longer than necessary.

We do not intend to store or currently store financial details (credit or debit card numbers) obtained through online transactions. We do not pass any information to third parties, except where we are legally required to do so, to assist fraud reduction, or to provide a service requested and minimise credit risks.

Access to your information  security

You can request access to the personal information that we hold about you by contacting our Privacy Officer as set out below. We will provide you with access to your personal information unless we are legally authorised to refuse your request.

We will take reasonable steps to correct any of your information which is inaccurate, incomplete or out of date. If you wish to have your personal information deleted, please let us know and we will delete that information wherever practicable.

We use social media such as Facebook, Twitter, WhatsApp and You-Tube. Users must verify authenticity of sites before posting or providing personal information on such sites. Unless it is material supplied or officially posted by the us, we do not endorse social media website(s) and have no responsibility for the content nor for the cookies they may contain. We do not ask for passwords nor personal details on social media.
